POLICIES AND REQUIREMENTS:

1. Deposit: A non-refundable 50% deposit is required to hold the date and time of your birthday party. We cannot guarantee your booking without the deposit.  We accept cash (in person), Paypal, and all major credit cards (through Paypal). Personal checks will NOT be accepted. **Due to our growing popularity all Special Event contracts and deposits must be received with in 7 days of the date of the contract. If the contract or deposit is not received within 7 days, your date will be released. **

2. Reservations: We prefer you reserve your date 6-8 weeks in advance. If your event is planned less than 4 weeks before the date, a $100 rush fee could be applied. **Events planned less than 2 weeks before the date will not be accepted.**

3. Final Count: A final guest count will be required 7 days before the party. You will be responsible for that amount whether or not that amount attends. Example: If you RSVP for 10 guests and 7 attend, you will still be charged for 10. The final count helps us plan enough supplies to make your party a success! In the event a child who did not originally RSVP attends the party, you will be charged an additional $10/guest who did not RSVP. If siblings are planning on participating in the activities, please include them in your final count. The birthday star is to be counted in the final count as well.

 

4. Cancellations & Postponements: In the event that you need to postpone your party, you are allowed to postpone once within a 30 day period, at least 14 business days before your scheduled event. If you have to cancel your party, you may do so, at any time however; the 50% deposit is non-refundable.

5. Outdoor Parties/Events: PLEASE keep in mind that most of the characters are in costumes, wigs and/or make-up that can get very hot! If you are having an outdoor event/party,  you must provide shade for the characters. This is for the health and safety of the performers.  In addition, to protect our costumes, the outdoor space MUST be clean and free of mud, dirt, tall grass or any other elements that would deem the space unclean/unsafe.  Violation of this rule can result in immediate termination of the contract and forfeiture of all funds. This is VERY important.

 

 6. Parents: Although the character will keep the children entertained for the duration of the party, the parent or guardian of the birthday child is required to stay at all times and remains responsible for the safety and well being of all children. The guest’s parents are welcome to stay and enjoy the party, however; we ask that the parents keep the noise level to a minimum so there are as minimal distractions or interruptions as possible.

Parent's Obligation:

• Please remain with the party.

• Please provide full guest list at least 7 days prior to the party.

• Please provide a safe, clean and smoke free environment for activities .

• Please be sure that pets are kept clear from the party area.

• Please leave us some space to park in your driveway or in front of your home where we will not be blocked in.

• Please provide a safe and clear walk way for our characters. Some of our costumes require high heels and/or large/long skirts and other prop, and we would like to avoid any dangers of them falling on ice, rocks, debris or slipping in the snow, wet walkways, loose gravel, etc. 

• Please be sure no food or drinks are brought out during the EverNyte Cosplay portion of the party.

• Please provide us with feedback on how to improve our services.

• We LOVE referrals!!! 

 

7. Alcohol, Pet  and Smoking Policy: EverNyte Cosplay will not provide or permit alcohol.  If alcohol is to be served, please wait until EverNyte Cosplay is finished and has left.  A sober, non-drinking parent or guardian must stay at all times and be responsible for the safety and well being of all children.  Violation of this rule can result in immediate termination of the contract and forfeiture of all funds. We do not allow smoking around any of our costumes. If you have pets that enjoy jumping up for extra loving, we ask that they be kept in another area during the EverNyte Cosplay portion of your event. 

 

8. Food Allergies:  If you choose a package with the desserts and refreshments provided by EverNyte Cosplay , it is the responsibility of the parent/guardian to check with the guests' parents about any specific food allergies their child might have. If there is a child with severe food allergies, we suggest having the child’s parent supply an alternate food menu. A parent or guardian of the birthday child must remain and be responsible for the safety and well being of the children at all times.

 

9. Costumes & Party Supplies:  The party supplies that EverNyte Cosplay bring to your home belong to and are owned by EverNyte Cosplay. It is understood that all party supplies and decorations be retrieved and taken home by the EverNyte Cosplay Host once the party is complete. Our costumes are very delicate, so we ask that all eating (unless you purchased a tea party package, in which case, only the food items brought by EverNyte Cosplay will be allowed during the event) be done BEFORE or AFTER your Character Appearance.
 

10. Tips & Gratuities: Tips are greatly appreciated for a job well done! (But certainly not mandatory!!)

 

11.  Mileage:  A set fee of $25.00 will be charged for any travel 30 miles from New Haven, Indiana. For every mile traveled over 50 miles, the $25.00 flat fee and an additional $.50 per mile will be added to the final balance of the party.  Please remember while calculating a travel fee, mileage will be counted coming to and going from the party.  You can find the mileage on Google Maps or Map Quest. EverNyte Cosplay reserves the right to refuse travel to locations further than 60 miles from New Haven, Indiana. 

12. Arrival Time: EverNyte Cosplay will do everything we can to arrive to your party on time, however, because we can never predict the weather, traffic and/or we might be coming from another party, please allow up to 15 minutes after the scheduled time for your character to arrive. If the time exceeds 15 minutes and the character still has not yet arrived, please feel free to call EverNyte Cosplay at (260) 442-1827 to check in.

13. For the safety and security of our cosplayers, we always travel with a handler. Our handlers are able to perform their duties, while remaining unobtrusive. Their duties include helping our cosplayers navigate walkways, hallways, doorways and otherwise restrictive paths that costumes may get hung up on, helping remove a cosplayer to a private area, should a costume malfunction, helping with the handing out of party favors and other party supplies, and keeping our cosplayers from getting overwhelmed by over joyous kiddos.  That  brings us to the unpleasant portion of our policy...

 CUSTOMER’S CONDUCT:

1.  Customer is solely responsible for the information Customer communicates in any manner to any Entertainer.

2.  Customer must not and will not communicate to any Entertainer or any other Customer, any defamatory, inaccurate, abusive, obscene, profane, offensive, sexually oriented, threatening, harassing, racially offensive, or illegal material, or any material that infringes or violates another party’s rights (including, but not limited to, intellectual property rights, and rights of privacy and publicity).  Furthermore, Customer will not take actions to promote the physical harm or harassment of another person, engage in or promote spamming, provide information that Customer knows or should know is illegal, false or misleading, or designed to exploit those under 18, or otherwise provide instructional information about illegal activities such as making or buying illegal weapons, violating someone else’s right to privacy or providing or creating computer viruses.

3.  Customer must not and will not provide inaccurate, misleading or false information to Party Characters or to any Entertainer. If information provided to Party Characters, or any Entertainer, subsequently becomes inaccurate, misleading or false, Customer will promptly notify Party Characters and Entertainer of such change.

4.  Customer must not and will not engage in advertising to, or solicitation of, any Entertainer.  Customer will not transmit any chain letters or junk E-mail to any Entertainer.

5. Customer will promptly report to EverNyte Cosplay any violation of the terms of this Agreement by Entertainer or Customer.

6.  Customer must not and will not make any derogatory and/or slanderous comments about anyone, including Party Characters, any other Customer, any Entertainer, and any other third party or fictitious / brand-name character.

 

 

 

NOTICE:

* EverNyte Cosplay is not responsible for any damage or accidents during your party. The party host will ensure to treat your home and guests with the up most respectable manner.

 

* EverNyte Cosplay is not responsible for the health and safety of any children.  A responsible parent or guardian must remain with the children at all times and shall be responsible for all health, safety and medical needs of any of the children in attendance.

White Glove Policy

Because our Princess Party hosts require high end wardrobes to create their character, we ask that no food or beverages be served during the Princess Party portion of your event (unless you purchased the Tea Party Package). This will help avoid any accidents on your carpets & furniture as well!

We recommend having your favorite babysitter assist!

  

Weather Emergency Policy

EverNyte Cosplay is located in Northeast Indiana and recognizes that some days of the year we just don't have fabulous weather. In the event of a weather emergency, EverNyte Cosplay reserves the right to reschedule your party as soon as possible within the next 30 days of the original party date. There is no extra fee included in the rescheduled date. Weather emergencies include, but are not limited to, Severe snow storms, tornadoes, severe thunderstorms, flooding and heat advisories. Please understand, we will do everything we can to keep your date, but should the need to reschedule arise, we will contact you as soon as we are able.

Q. What area does EverNyte Cosplay service? 

A: Fort Wayne, Indiana and the surrounding area. Special arrangements required for parties over 50 miles.

Q. Where are the parties held?
A. We will bring the celebration to your location: home, party room, park or event center! 

​

Q. What age does EverNyte Cosplay Party offer parties for?
A. Most of our parties are designed for girls ages 3 to 16 but we welcome boys, girls, men and women of ALL ages!

Q. Is there a minimum/maximum attendance?
A. There is no minimum attendance, but we do ask that you keep your guest to a maximum of 12.

Q. What happens if a guest arrives late?
A. Our parties are based on a schedule, the parties work best when all guests arrive on time. Please indicate to your guest to arrive promptly. Guests coming late may join the party at whatever point it has progressed to, but we can not roll back the schedule to catch them up. This is necessary in order to provide the least amount of disruption to the party.

Q. What is the fee for additional guests? 
A. We charge $10 per additional child that wasn't indicated in your final head count. For every additional half hour the party carries over will incur a $50 fee added to your party balance.

Q. Can parents of guest stay for the party?
A. Yes! If there is ample room without interference we welcome an audience. We ask that there be 1 on 1 supervision for each child under three.

Q. What form of payment do you accept?
A. We have a nonrefundable deposit of 50% of your balance, that goes towards your party's supply costs and will reserve your party date, time, and Cosplayer. Deposits and balances can be paid via Paypal, even if you do not have a Paypal account! Through Paypal, we can accept all major credit cards, and will send invoices to your email for the deposit amount and the remainder, with the agreed upon "due dates". We DO NOT accept checks or money orders. If you are paying in person, we do accept cash. We ask that you do not send cash through the USPS. Should it become lost in the mail, we can not replace your money, nor can we reserve/keep your party date. ALL party balances must be paid  by the Monday prior to your event. Please note that EverNyte Cosplay does not keep private credit/debit card information on file, nor do we take credit/debit cards over the phone. You will have to go to www.paypal.com to make your payments.
